Terms of Service

Last updated 11 October 2026

Who we are

TreadTrace is software from Lattice Cayman SEZC, registered in the Cayman Islands. These terms are between you, the business that uses TreadTrace, and us.

We sell to businesses, and by subscribing you confirm you are contracting in the course of your business. If the law where you are gives you a right these terms cannot take away, you keep it.

The agreement

You accept these terms when you subscribe in the app, or when you first use TreadTrace, whichever comes first. The version you accept is the one dated at the top of this page.

One thing is worth knowing before you accept. A size carries an allowance counted each month, never averaged over the year.

The service

TreadTrace plans tyre collections in the office and gives drivers the day's work on a phone. Every tip is recorded, and the tips you report for are filed with Defra's digital waste tracking service overnight. We add features over time, and change them.

Support is by email to support@treadtrace.co.uk, and we answer as quickly as we can. We do not promise an uptime figure.

Registering with Defra and paying its annual charge are yours to do. We file under your API code, and what we file is what your records say, so the office has the day to correct a tip before the night's run.

Fees

New organisations start on a free 30-day trial, with no card. Then you choose a plan. Each size carries a monthly allowance by weight; Tip only files with Defra and carries none.

  • Starter, 150 t a month: £189 monthly
  • Growth, 500 t a month: £439 monthly
  • Pro, 1,000 t a month: £819 monthly
  • Scale, 2,000 t a month: £1,189 monthly
  • Tip only, Defra filing only and no allowance: £49 monthly

Plans are paid monthly, carry no commitment and stop at any month's end. A subscription already paid yearly stays yearly.

Your allowance is counted each month, never averaged or carried forward. We measure weight as your own invoices do: the weighbridge ticket where there is one, the grade's average where there is not. At the allowance, work already done still records, and booking new collections waits until you move up or the month ends.

Prices exclude VAT. Dodo Payments adds VAT at checkout for your billing country and registration, so give your business name and VAT number there.

Payment is by card and renews until you cancel. If a payment fails we tell you, and you have at least 14 days to put it right before access is suspended.

Query a charge within 30 days and we will go through the tonnage behind it. After that the month's record is final.

Payments through Dodo Payments

You buy your subscription from Dodo Payments, Inc., our merchant of record and authorised reseller. Dodo Payments charges your card, applies tax and issues the invoice. Its Buyer Terms govern the payment, and these terms govern the software, which we license to you.

Refunds and cancellations

Cancel a monthly subscription whenever you like, from the billing screen in the app or by email to support@treadtrace.co.uk. It runs to the end of the month you are in, and nothing further is charged.

A subscription already paid yearly runs to the end of its year and is not refunded.

A month already started is not refunded, and neither is tonnage already recorded.

If a charge turns out to be wrong, and you told us within 30 days of it, we put it right. That is a refund to the card that paid, through Dodo Payments, or a credit on your next bill.

Write to us before you ask your bank to reverse a charge. If you raise a dispute over a charge these terms cover, we may answer it with our record of what you accepted and what you tipped.

Your data and our software

What you put into TreadTrace is yours. We use it to run the service for you, on the terms in "Data processing" below, and for nothing else.

TreadTrace itself, its design and its words are ours. While you subscribe you have a licence to use it for your own business.

Ask us and we will export your data in a form you can read. Thirty days after an account closes we delete what it held, apart from the billing records the law makes us keep.

Your waste records and your Defra filings are yours to keep under your own duty of care, so export them before you close an account.

Tell the people you add that we hold their details, and point them to our privacy notice.

Acceptable use

  • Use TreadTrace for your own tyre-waste work, and do not resell access to it.
  • Do not try to break into it, overload it or scrape it.
  • Do not put unlawful content in a photo, a note or a customer record.
  • Give each person their own login and keep it to them.
  • What your people do with your account is yours to answer for.

Data processing

You are the controller of the personal data you put into TreadTrace, and we are your processor. This section is our agreement about it, and it runs as long as your subscription.

We process that data to run collections, tip records and Defra filings for you. It is:

  • your drivers' and office users' names, emails and phone numbers
  • your customers, and their sites, contacts and rates
  • vehicle registrations
  • collections with counts, weights, photos and the names of people who signed
  • tip records, and what was filed with Defra

We act only on your instructions: these terms, and what your people do in the app. If the law makes us do something else, we tell you unless the law forbids it.

Everyone who handles your data is under a duty to keep it confidential. We protect it with measures suited to the risk: encryption in transit, access for the people who need it, and each organisation's data kept apart from every other one's.

These are our sub-processors:

  • Cloudflare, Inc., United States: hosts the site and the app, stores their data and files, sends the app's email and counts visits to this site.
  • Clerk, Inc., United States: signs your people in and keeps their sessions.
  • Postcodes.io, United Kingdom: turns a postcode into a point on the map.

We tell you 30 days before we add or change one. If it does not suit you, say so and cancel before the change takes effect.

We help you answer a request from someone whose data it is, and pass on any that reaches us. We help with your security work and with an impact assessment.

We tell you about a breach of personal data without undue delay, and within 72 hours of finding out, with what we know and what we are doing.

At the end we delete or return your data as "Your data and our software" says. Ask and we will give you what a regulator needs to see, and take an audit on reasonable notice.

Your data leaves the UK to reach us and some of the parties above. For the transfer to us, the UK International Data Transfer Addendum to the EU standard contractual clauses forms part of these terms. Each other party covers its own transfer under its own UK-approved terms.

Confidentiality

We keep what we learn about your business to ourselves, and you do the same with what you learn about ours, such as a price we have discussed.

Neither of us has to keep quiet about something already public, something we knew before, or something a court or a regulator requires.

What we promise and what we do not

We provide TreadTrace with reasonable skill and care. Beyond that it is provided as it is: we do not promise it is free of faults or always available.

If we owe you anything, the most we owe in any twelve months is what you paid us in the twelve months before the claim. We are not liable for indirect loss, for lost profit, or for data you could have exported. A penalty a regulator gives you over records that were wrong before they reached us is not ours either.

Nothing here limits what we owe for death or personal injury caused by our negligence, for fraud, or for anything the law does not let us limit.

Changes

We may change these terms and the fees. For a fee change, or a change that matters to you, we email you at least 30 days before it takes effect. A change starts at the beginning of a billing month, and you may cancel before then.

Smaller changes show as a new date at the top of this page.

Law and contact

These terms are governed by the laws of England and Wales, and the courts of England and Wales decide any dispute about them. Write to us at support@treadtrace.co.uk.
